Your information should serve the conversation—not become a product.

1. Information collected

Information you provide through an inquiry

When you submit a speaking, coaching, podcast, interview, or collaboration inquiry, the Site may collect:

• Your name and email address
• Your organization, church, show, team, and role, when provided
• The type of inquiry and preferred speaking topic
• An approximate date, location, platform, or format
• The audience, project, requested outcome, and other details included in your message

Information you provide for Louis’s Field Notes

When you join Louis’s Field Notes, the Site collects your email address and information related to the signup, subscription status, and unsubscribe request.

Communications and business records

If a conversation continues after a form submission, I may retain related emails, scheduling details, proposals, agreements, invoices, and other records reasonably needed to evaluate or provide the requested service.

Technical information processed when you visit

The Site’s hosting and security providers may automatically process information associated with a request to the Site, such as an IP address, browser or device type, requested page or file, referring page, date and time, and diagnostic or security information. I do not use the current Site to build advertising profiles about visitors.

2. How information is used

I may use personal information to:

• Review, respond to, and follow up on an inquiry
• Evaluate fit, availability, scope, format, and logistics
• Prepare for and provide speaking, coaching, podcast, interview, or collaboration services
• Send Louis’s Field Notes and related updates when you request them
• Maintain business, contractual, accounting, and correspondence records
• Detect spam, abuse, security incidents, and technical problems
• Protect legal rights, comply with lawful obligations, and resolve disputes

Where applicable law requires a legal basis, processing may rely on your consent, steps taken at your request before entering an agreement, performance of an agreement, legitimate business interests, or compliance with legal obligations.

3. Cookies, analytics, and technical data

As of the effective date above, the Site’s own code does not intentionally set advertising cookies, run advertising pixels, or use client-side behavioral analytics. For that reason, the Site does not currently display a non-essential cookie-consent banner.

The Site is hosted on Netlify. Netlify and services used through Netlify may process technical request data to deliver and protect the Site. Form submissions are also screened for spam; Netlify states that it uses Akismet for this purpose.

If I later add analytics, embedded media, scheduling, payment, advertising, or other tools that materially change these practices, this notice and any legally required consent controls will be updated before or when those tools are introduced.

4. Service providers and disclosures

I use service providers only as reasonably needed to operate the Site and respond to visitors. Current or foreseeable categories include:

• Netlify: website hosting, content delivery, security, and form processing
• Spam screening: Netlify may use Akismet to classify form submissions
• Email services: if form notifications or Louis’s Field Notes delivery are enabled, an email provider may process the relevant address and message or subscription information
• Business and professional services: scheduling, accounting, legal, or technical providers when reasonably necessary

Personal information may also be disclosed:

• At your direction or with your consent
• To comply with a valid legal request or legal obligation
• To protect the rights, safety, security, or property of Louis, Site visitors, clients, or others
• In connection with a reorganization, transfer, or sale of all or part of a business, subject to appropriate safeguards

5. Retention

Personal information is retained only for as long as reasonably needed for the purpose for which it was collected, including responding to a request, considering or providing an engagement, maintaining appropriate business records, resolving disputes, enforcing agreements, or complying with law.

• Inquiries: submissions and related correspondence are reviewed periodically and may be deleted or anonymized when no longer reasonably needed.
• Louis’s Field Notes: an email address may be retained until you unsubscribe or request deletion. A minimal suppression record may be kept when necessary to honor an unsubscribe request.
• Provider logs and backups: technical data may be retained according to the applicable provider’s operational, security, and backup practices.

Netlify form submissions remain available in the Netlify account until they are deleted. I intend to review and remove submissions that are no longer needed.

6. Security

I use reasonable administrative and technical measures appropriate to the nature of the information and the Site. The Site is intended to be served over HTTPS, and form handling is provided through Netlify.

No method of transmission over the internet or method of electronic storage can be guaranteed to be completely secure. Please do not submit information through the Site that would create unnecessary risk if disclosed.

7. Sensitive information

Do not submit Social Security numbers, payment-card details, account passwords, confidential medical or mental-health records, detailed financial information, privileged legal communications, or other highly sensitive information through the Site’s forms.

Coaching inquiries may describe a general goal or challenge, but the public website form is not intended to serve as a confidential therapy, crisis, legal, medical, or financial-services channel.

8. Children’s privacy

The Site is intended for a general audience and is not directed to children under 13. I do not knowingly collect personal information online from children under 13. If you are a parent or guardian and believe a child has submitted personal information through the Site, please contact me so the information can be reviewed and, when appropriate, deleted.

9. Your choices and rights

You may:

• Unsubscribe from Louis’s Field Notes using the unsubscribe method in an email
• Ask whether I hold personal information about you
• Request access to, correction of, or deletion of personal information
• Withdraw consent for future processing when processing is based on consent
• Object to or request limits on certain processing when applicable law provides that right

To protect privacy, I may need to verify your identity before completing a request. A request may also be limited or declined when retention is reasonably necessary for legal obligations, security, fraud prevention, dispute resolution, or another lawful exception.

10. International processing

The Site is operated from the United States. Service providers may process information in the United States and other countries where they or their subprocessors operate. Those locations may have privacy laws that differ from the laws where you live.

11. Third-party links and platforms

The Site links to YouTube, LinkedIn, Facebook, X, and may link to other external websites. Clicking an external link takes you to a service controlled by another organization. Its collection and use of information are governed by its own terms and privacy notice, not this one.

12. Changes to this notice

This notice may be updated when the Site, service providers, legal requirements, or business practices change. The effective date at the top identifies the current version. Material changes will be posted on this page.
